This policy explains how SyncVelo (“SyncVelo”, “we”, “us”) handles personal data when you visit syncvelo.com, contact us, request a demo or trial, or subscribe and pay for a plan. Data processed inside the SyncVelo platform on behalf of our customers is governed by our customer agreements and data processing agreements. The company responsible for your personal data is Zennit Technologies Pvt Ltd if you are in India, and iQmindset Corporation if you are anywhere else.

1. Data we collect

Information you give us: when you use a form on this website we collect the details you enter, such as your name, work email, company, phone number, role, fleet size, region, topic, message and your marketing preference.

Billing information: when you subscribe, we collect your name, email address, company and country and, where the payment partner for your country needs it, your mobile number, together with your plan, number of devices, invoices and payment status. You enter your card or UPI details on our payment partner's own page: SyncVelo never receives or stores your full card number, security code (CVV) or UPI PIN. We keep only what the payment partner reports back to us, such as your card's brand, last four digits and expiry date.

Technical information: our servers process your IP address to deliver the website, protect it against abuse (for example rate limiting) and determine your country so we can show the site in a suitable language. We use a country-level IP database and do not store your IP address for this purpose. Web server logs, which include IP addresses, are kept for up to 30 days for security.

Cookies: we set a single functional cookie (NEXT_LOCALE) to remember your language. We do not use analytics, advertising or social-media tracking cookies.

AI assistant: if you use the on-site assistant, your messages are processed to generate answers. Please do not share sensitive personal information in the chat.

2. How and why we use data

To respond to your enquiry, schedule demos, set up trials and take steps at your request before entering into a contract.

To set up and bill your subscription: to take payments, issue invoices and refunds, send trial and payment reminders, and prevent payment fraud.

To send product news and invitations, only where you have opted in. You can unsubscribe at any time.

To secure and improve our website, prevent fraud and abuse, and comply with legal obligations.

Our legal bases include your consent, steps prior to a contract, the performance of our contract with you, our legitimate interests in operating and securing our business, and compliance with law, such as tax and accounting rules.

3. Sharing

We share personal data only with service providers that help us operate, such as hosting, email delivery and AI service providers, under contracts that require them to protect it and use it only on our instructions. AI providers we use for the on-site assistant are contractually prohibited from training their models on your conversations.

Payments are processed by our third-party payment partners, such as Razorpay, Cashfree and Stripe. We share with the partner that handles payments for your country only what it needs to take them: your name, email address and company, your mobile number where that partner needs it, and the plan, amount and billing period. The payment partners handle card data under the Payment Card Industry Data Security Standard (PCI DSS) and use personal data under their own privacy policies.

We do not sell personal data. We may disclose information where required by law or to protect rights, property and safety.

4. International transfers

We operate globally. Where personal data is transferred across borders, we use appropriate safeguards such as standard contractual clauses.

Depending on your country, your payment is handled by a payment partner in India (Razorpay or Cashfree) or in the United States (Stripe).

5. Retention

Enquiry and lead data is kept for up to 24 months after our last interaction, unless a longer period is required by law or we enter into a customer relationship. Security logs are kept for up to 30 days.

Billing records, such as invoices and payment records, are kept for as long as tax and accounting laws require.

6. Your rights

Depending on where you live, including under the EU and UK GDPR, India's Digital Personal Data Protection Act and Brazil's LGPD, you may have the right to access, correct, delete, restrict or object to the processing of your data, to data portability, and to withdraw consent at any time.

To exercise your rights, email privacy@syncvelo.com. You also have the right to complain to your local data protection authority.

7. Security

We protect this website with TLS encryption, HSTS, a strict Content Security Policy, hardened infrastructure, access controls and monitoring. No method of transmission or storage is completely secure, but we work hard to protect your data.

8. Children

This website is intended for business users and is not directed to children under 16.

9. Changes and contact

We may update this policy from time to time and will post the latest version on this page.
